Element’s Privacy Policy - Statement of Accountability 

Element acknowledge how crucial effective and secure data collection, storage, processing, and deletion is when working with young people, and we are committed to GDPR compliance. 

Element collect data from two different groups: those who subscribe to our mailing list, and those who participate in our projects. For this first group, we have a privacy policy; for the second group, we have a data protection plan. Both can be accessed upon request - just send us an email and we’ll ping the documents across to you. 

Element has a GDPR lead in the form of Alex. She is responsible for reviewing Element’s data protection policy; organising team meetings to discuss any data issues; writing and disseminating consent and media release forms; processing the referral data; anonymising data for impact purposes; minimising data during data updates; and securely deleting data when appropriate/necessary. We understand that sometimes, reading pages and pages of procedure and policy is not the easiest or quickest way of accessing information. We also understand the importance of writing with transparency and clarity, so that everyone for whom we hold any information knows their rights for both opting in and opting out of sharing this information with Element. So here’s a TLDR version for both groups:

Subscribers to our mailing list

  • We use Mailchimp to securely hold your email addresses, and to send you quarterly updates on Element news, events, and project updates. Mailchimp has a privacy policy that can be accessed here

  • We do not use cookies on our website 

  • We do not engage in any third-party data sharing

  • You can unsubscribe from our mailing list at any time, using the ‘unsubscribe’ function at the bottom of all our emails

Young people accessing our services 

  • We collect referrals from social workers and personal advisors. They will only give us your contact details if you have given them permission to do so. 

  • We will hold minimal information on you in order to do our work to the best quality. This entails collecting your name, number, and information on what you’re interested in, to best support you into further opportunities once you’ve completed a project with us

  • We think it’s important to hear your views on how you feel the Element project has been. This data, once collected, will be anonymised. It will be shared with our clients, and on our website, but as numbers and never identifiable back to individual people.

  • Without your permission, we can’t hold any information about you. It is your choice to give consent, or to withdraw consent, on our information collection.
